Privacy Policy

Information you create

Routina can store information you choose to enter, including todos, routines, schedules, tags, priorities, checklists, comments, notes, goals, events, focus history, completion history, saved places, sleep or away records, links, images, files, and voice notes. Some categories are experimental or unavailable in the current production apps but can remain in synchronized data and backups for compatibility. This content is used only to provide the features you request inside the app.

Local storage and iCloud

Routina stores data locally on your device. When iCloud synchronization is available, Routina uses Apple CloudKit to synchronize data through the Apple ID signed in on your device. CloudKit processing is governed by Apple's privacy practices. Routina's developer does not operate a separate server that receives a copy of your task database.

Crash reporting

When Firebase Crashlytics is configured in the distributed iOS or macOS app, crash reporting is automatic. A report can include the crash stack, relevant application state, app version, device model, operating-system information, and installation identifiers used by Firebase to process and group reports. Routina adds only the platform, the app variant, and a bounded trail of general interaction categories such as navigation, scrolling, filtering, or task actions.

Routina does not set a Crashlytics user ID and does not intentionally add task titles, descriptions, search text, record identifiers, account details, locations, attachments, or other user content to crash reports. Google Analytics is not included, and crash diagnostics are not used for advertising or tracking. Google processes and retains this diagnostic information under its Firebase privacy and security practices.

Permissions and device capabilities

Available permissions vary by platform and app version. Current production apps request access only when you use a related released feature:

• Notifications: used to deliver reminders you enable for tasks, routines, or events.
• Calendars: used when you choose to review Apple Calendar events before importing selected events as Routina tasks.
• Photos and files: used only for items you explicitly select and attach to Routina content.
• App Lock: authentication is performed by the operating system. Routina does not receive or store biometric data.

Development builds can contain experimental microphone access for voice notes, location access for Places, and macOS automation for browser-level blocking. Those features and their permission declarations are omitted from the current production iOS and macOS apps. If one is promoted to a production feature later, this policy will be updated before distribution.

You can review or revoke these permissions at any time in System Settings. Disabling a permission prevents the related feature from working but does not prevent use of unrelated Routina features.

Optional external integrations

If you explicitly enable an integration, Routina may communicate directly from your device with the selected service:

• GitHub or GitLab: Routina can retrieve contribution statistics. A personal access token you provide is stored in the device Keychain and can be removed from Routina's settings.
• Microsoft Outlook: when this integration is offered and you choose to connect it, Microsoft authentication and Microsoft Graph are used to review calendar events before importing selected events as tasks.
• Mac AI connections: Routina's local, read-only helper can answer product-help questions without personal task access. If you separately enable read-only task access, Routina writes a private local snapshot that can include task names, schedules, dates, tags, descriptions, notes, links, goals, places, and progress. The helper can return relevant details to your chosen AI client, and that client may send them to its own AI provider. Routina does not proxy those requests through a developer-operated AI service. Turning task access off deletes the local snapshot; removing the connection from the AI client is a separate action.
• Public link titles: on macOS, pasting a public web URL into Quick Add can contact that website directly from your device to retrieve page metadata for an editable task title. Routina avoids this automatic request for obviously local or credential-bearing URLs.

Use of an external service is also subject to that provider's terms and privacy policy. Routina does not sell information received through an integration.

Sharing

If you use invitation-only iCloud sharing, the people you invite can access the content you share with them. Sharing is handled through Apple CloudKit. Routina does not provide a public content feed or advertising profile.

Retention and deletion

• You can delete individual Routina items from within the app.
• You can remove saved GitHub or GitLab connections in Settings, which removes their stored access tokens from Keychain.
• Settings > iCloud & Backup provides controls to export a backup and delete Routina data from the device and iCloud.
• Crash diagnostics are retained and deleted under Google Firebase's published retention practices. They are not part of Routina's local or iCloud data-deletion control.
• Removing the app deletes its local app container, but synchronized iCloud data may remain until you delete it using Routina's data-deletion control.

Because the developer does not maintain a separate Routina account or database, the developer generally cannot identify or delete an individual user's private iCloud records on the user's behalf.

Children's privacy

Routina is a general productivity app and is not directed to children under 13. Routina does not knowingly collect children's personal information on a developer-operated service.

Changes to this policy

This policy may be updated when Routina's features or legal obligations change. The latest version will be published on this page with a revised date.

Agreement

Terms of Use

By downloading or using Routina, you agree to these Terms of Use and Apple's Standard End User License Agreement. If you do not agree, do not use the app.

Purpose

Routina is a general productivity and planning tool. It does not provide medical, legal, financial, mental-health, emergency, or other professional advice. You are responsible for decisions made using your tasks, schedules, reminders, and statistics.

Using Routina

You are responsible for the content you create, for maintaining access to your device and Apple ID, and for keeping appropriate backups. You must not use Routina to violate applicable law, infringe another person's rights, distribute malicious content, or interfere with the app or related Apple services.

Your content and external content

You retain responsibility for task text, attachments, links, calendar events, and other content you add or import. You must have the right to use that content. Routina can display or retrieve information from links and services you select, but the developer does not endorse, control, or guarantee third-party content, websites, accounts, or availability.

Availability

Routina does not limit task creation based on the number of tasks a person already has.

External services and AI connections

iCloud, calendar, GitHub, GitLab, Microsoft, Firebase crash reporting, public website metadata, a user-selected AI client or provider, and other Apple platform features may depend on external services. Their availability, authentication, data handling, and service operation are controlled by their respective providers and may change independently of Routina.

You are responsible for the third-party accounts and credentials you choose to connect and for complying with those providers' terms. When you enable Mac read-only task access and ask a connected AI client about your tasks, you authorize Routina's local helper to return the requested task details to that client. The client or its AI provider may process those details under its own terms and privacy policy.

AI-generated answers can be incomplete, outdated, or incorrect and must be reviewed before you rely on them. Routina's current AI helper is read-only: it does not create, edit, complete, archive, or delete Routina data. Product-help answers remain available without enabling personal task access.

Availability and warranties

Routina is provided on an "as is" and "as available" basis to the extent permitted by law. Reminders, synchronization, integrations, focus controls, and blocking features may be affected by system settings, permissions, network availability, or external services. Routina should not be used as the sole method for time-critical, safety-critical, or emergency reminders.

Changes and termination

Features may be improved, changed, or discontinued as the app evolves. Access may be limited when necessary to comply with law, protect users, or prevent misuse. Updated terms will be posted on this page with a new revision date. Continued use after an update constitutes acceptance of the revised terms where permitted by law.

Apple's terms

These terms supplement Apple's Standard EULA. If these terms conflict with Apple's Standard EULA, the Standard EULA and applicable law control to the extent of the conflict.
